Bookkeeper Part Time

A Bookkeeper is responsible for updating the Virgin Islands Association for Independent Living financial accounts and records. Their duties include checking accounting records for accuracy, tracking invoices, and payments and maintaining a system for organizing the company documents.

Salary Level: $18.00

Supervisor: Executive Director
Position: Non-Exempt, Part-time (20-30 hours weekly)


ESSENTIAL DUTIES AND RESPONSIBLITIES 

● Prepare monthly financial reports including a balance sheet, income and expense report, budget comparison, and other key financial reports for review by the executive director, the finance committee, and board of directors.  

● Reconcile the bank account.  

● Enter various transactions into the accounting system, such as deposits, payroll, in-kind donations, and debit or credit card transactions.  

● Calculate drawdowns based on allowable, allocable, and reasonable expenses. Retain itemized documentation for each drawdown in either paper or electronic files.  

● Prepare checks for payments of all expenses for the period and provide the unsigned check with the backup documentation and an addressed envelope to the executive director for signing and processing.  

● Back up accounting data on-site and off-site weekly.  

● Classify receipts, expenditures, and payroll properly by account and object of expenditure, including indirect costs and proper cost allocation.  

● Assure that the history of determining an expense to be reasonable and necessary is preserved along with the receipts.  

● Verify 1099s annually and provide them to vendors and employees as required by the Internal Revenue Service. IL-NET Fiscal Policies and Procedures Handbook.  

● Perform an initial review of timesheets for executive director approval.  

● Prepare payroll information for payroll services and provide to the executive director with supporting documentation for approval.  

● Review or prepare all federal and state quarterly and annual payroll tax reports and confirm payroll service’s deposits.  

● Prepare documentation required for workers’ compensation insurance audits. Outside CPA. 

Prepare documentation for annual 990 filing for Outside CPA.9  

QUALIFICATION REQUIREMENTS 

  • Associate degree in accounting. 
  • A minimum of 3-5 years' experience in bookkeeping. 
  • Good understanding of Grant Accounting. 
  • Good understanding of GAAP procedures. 
  • Strong knowledge QuickBooks Accounting Program. 
  • Experience using a 10 key calculator. 
  • Excellent organizational and leadership abilities. 
  • Exceptional communication and interpersonal skills. 
  • Personal knowledge of disabilities. 

WORK ENVIRONMENT 

  • The noise level of the office working conditions is low to moderate. 
  • Mostly indoors, occasionally outdoors. 
  • Moderate amount of travel regional.
